Natural Products Expo West is where natural and organic brands meet the buyers who stock them. Most people call it Expo West. It's trade-only, so you need a business link to the industry to get in.
In 2026, 66,000 people registered and more than 3,200 brands exhibited. You'll meet retail buyers, distributors, food service buyers, health practitioners, investors and press. Many are there to find products to stock. So your booth needs to show the product, let people taste it, and leave room to talk.

Before You Hire an Exhibit Builder: Pass the Expo West Standards Review
Your products must pass New Hope's Standards review before you can exhibit. The review checks ingredients, labels and marketing claims.
Some ingredients are banned outright. These include artificial colors, flavors and sweeteners, high-fructose corn syrup, MSG, partially hydrogenated oils and kratom (ingredient standards).
The review can take up to 90 days. Approval lasts one year from the day you apply. It doesn't reserve a booth. That's a separate step.
If this is your first Expo West, start the review before you commit to an exhibit builder. A review that starts in October can run into January.
Expo West 2027 Floor Plan, Halls and Exhibitor List
The 2027 floor plan is live in the show's exhibitor platform. Exhibitors update their listing in the Exhibitor Console. The 2027 exhibitor list fills in as brands book. Until then, the 2026 exhibitor list shows who was there and where.

Outdoor area that opens the day before the halls. Certified organic only.
One thing to watch: an 8x10 booth costs the same as a 10x10 (booth details). So in Level 3 or North, you get 20% less floor for the same price.
In 2026, nothing over 4 ft could stand within 5 ft of the aisle. If you're in an 8-ft-deep space, tell your builder before design starts.
Watch out for list sellers. The show warns that some companies claim to sell Expo West attendee lists. They have nothing to do with the show (exhibitor resources). For real lead tools, ask your account manager.
Expo West 2027 Dates, Hours and Move-In
Expo West 2027 runs Tuesday, March 2 to Friday, March 5. Education sessions run all four days. The exhibit halls are open Wednesday to Friday, March 3–5.

What Else to Budget For
Space is just the start. Say you're a beverage brand in a 10x20, sampling cold drinks. You'd also pay for:
The booth itself, rented or owned
Setup and teardown labor (overtime rates applied in 2026)
Fridges, power and any plumbing, ordered through GES
A sampling kit: hand-washing station, sneeze guards, gloves and cups
Freight and material handling, which cost less if you order by GES's discount deadline (February 10 in 2026)
Storage for extra product, plus flooring if your hall requires it
Ask each Expo West exhibit builder to price these lines separately. It's the only fair way to compare quotes.
Shipping Cold Product to Natural Products Expo West
Refrigerated and frozen products have their own rules. Here's how it worked in 2026 (important dates, food storage):
Cold products went straight to the show site, never the advance warehouse. The window was March 1–3, 8 AM–3:30 PM.
GES offered fridge, freezer and dry storage on site.
Booth freight could go to the advance warehouse from February 5. It cost extra after February 25.
Nothing went back to the warehouse after the show. Everything shipped out from the floor.
The main building and the North Halls needed separate deliveries.
Practical tip: plan each restock for the afternoon before. That way the morning buyer hour doesn't depend on a truck.
Expo West Booth Rules: Heights, Sampling and CBD
These are the 2026 rules unless marked. One 2027 date is already out: every booth must send the booth approval form by January 19, 2027 (exhibitor hub guide). In 2026 it was January 15 (2026 booth rules).

The 2026 rules said no temporary permit was needed if you followed them. Check any other local rules for your product.
New Hope allows full-spectrum hemp products with up to 0.3% delta-9 THC. THC isolate is banned. So is marketing that promises a high (ingredient standards).
Because of that, the show's 2026 policy didn't allow any food, drink or supplement with THC to be shown or sampled. THC-free ones were allowed (2026 hemp policy). Rules differ for other products, like cosmetics and pet products. Check the 2027 policy first. Questions go to standards@newhope.com.
GES is the official contractor. It handles freight, utilities and labor. But you can bring your own builder. GES calls this an Exhibitor Appointed Contractor, or EAC (official service provider information).
Get your builder's insurance certificate before you sign. If they can't meet the show's insurance rules, they may not be allowed to work on your booth.

Expo West Booth Design Tips
These Expo West booth design tips come from the 2026 rules and from how buyers shop the floor.
Put a low sampling counter at the front and shelves at the back. Nothing over 4 ft could go near the aisle. Eye-level shelves belong on the back wall, where buyers can see your packaging.
Keep the tasting line inside your booth. Set the counter back so people queue on your floor, not in the aisle.
Build in the hand-washing kit and sneeze guards. Open sampling needs both. Built in, they look neat. Added on the day, they look like an afterthought.
Add closed storage for a day of stock. That's all you can keep in the booth.
Leave room to sit down with a buyer. A tasting can turn into an order, but only if there's somewhere to talk.
Only show claims that passed review. The Standards review checks marketing claims too.
Expo West Booth Rental vs. Custom Build
First Expo West, in a 10x10 or 10x20? A rental can lower your upfront cost while you learn what works. Certified organic brands can also try Fresh Ideas, which the show calls a smaller investment than a full booth (Fresh Ideas).
Doing several food shows a year? An owned modular booth can pay off across shows like the Summer Fancy Food Show and IFT FIRST. Make sure it also fits an 8-ft-deep space.
Island with open sampling? You'll likely need custom work for plumbing, fridges and storage.
